home/work/Documents that fill themselves

Documents that fill themselves in.

Contracts, client files, quotes and reports are mostly the same document with different facts. An agent now drafts them from your templates and your data, checks them against your rules, and hands them to a person to sign. Three weeks from the first call to the first signed document.

The job, before.

A new client meant forty minutes of copying the same details into five documents, and a typo in one of them.

The template lived in someone’s folder, slightly out of date. Facts were typed from an email into a contract, then into a client file, then into a cover letter. Checking took longer than writing, and still missed things.

What the agent does now.

step 1

Gathers the facts

From the email thread, the CRM, the uploaded ID or company extract. Each fact is recorded with where it came from.

step 2

Drafts from your templates

The current, approved version of each template, with the right clauses for this case and nothing invented. Optional clauses are proposed, not inserted.

step 3

Checks against your rules

Dates consistent, amounts matching the quote, names spelled as on the ID, mandatory clauses present, anything that differs from the template highlighted.

step 4

Hands it to a person to sign

The partner, the broker, the manager sees the documents with the differences marked and the sources one click away. They sign, or send it back with a note.

What changed.

Forty minutes became four, and the typos stopped. The documents are the same documents, from the same templates, signed by the same people. What changed is that nobody types the facts twice.

The first version drafted contracts. The team then asked for client files, then quotes, then the monthly report, each one a week of work on top.

  • Differences highlightedAnything that departs from the template or the quote is marked before a person reads it.

what it takes

  • Your templates, as they areWord, Google Docs or PDF forms. We do not ask you to rewrite them.
  • Where the facts liveCRM, inbox, a shared folder, an upload form; usually a mix, which is fine.
  • An hour with the person who checks todayTheir checklist becomes the agent’s checklist.

The rules it keeps.

Read-only first

Every agent starts by watching and drafting. It only sends, books or files on its own once you have seen it be right, step by step.

Your data stays yours

Agents run inside your own accounts and tools. Where a model is needed we use EU-hosted options by default, and nothing is used to train anyone’s model.

A person for the exceptions

Anything the agent is unsure about goes to a named person, with the facts already gathered. You decide what it may do alone, and when.

Asked about this one.

Can it draft legal documents safely?

It drafts from your approved templates and never writes a clause of its own. The lawyer still reads and signs; what they no longer do is type names, dates and amounts.

Does it work with client-verification files?

Yes, and for Monaco’s regulated professions we usually pair it with Trace, which produces the screening report that goes into the file.

What if the facts are missing?

The agent asks: it drafts an email to the client requesting exactly what is missing, in their language, and parks the document until the answer arrives.

Thirty minutes is enough to tell whether it would pay back for you. We will say so either way, in writing.
