The admin, done before anyone arrives.
An agent is software that reads what comes in, does the repetitive part, and hands the judgement calls to a person with the facts already gathered. We build them into the tools you already use.
Four jobs an agent takes over well.
Each one is a case study of its own. Click through for how it works, what it takes and what it gives back.
The inbox
Enquiries read, sorted and answered in the client’s language, invoices matched, the rest filed. The few things a day that need a person are flagged with a draft ready.
The phone
Calls answered around the clock in several languages, appointments placed straight in the calendar, voicemails transcribed and turned into tasks. A person is brought in when it matters.
Documents
Contracts, client files, quotes and reports drafted from your templates and your data, checked against the rules you give it, and passed to a person to sign.
Reporting
Weekly and monthly numbers pulled from your systems, written up in plain language, with the anomalies pointed out, in your inbox before the meeting.
Inside your tools. Not another one.
Agents live in Microsoft 365 or Google Workspace, your phone system, your CRM, your accounting or practice software. Your team keeps working where it always has; the agent does its part in the background, and leaves a trace of everything it did.
How an agent earns its permissions.
No agent of ours sends, books or files on its own on day one. It earns each permission by being right, in front of you.
It watches
The agent reads a sample of real traffic and shows you what it would have done: sorted this, answered that, flagged these. You correct it.
It drafts
Replies, bookings and documents appear as drafts for a person to approve with one click. Nothing leaves without a human looking.
It acts, within limits
For the categories where it has been right, it acts on its own and logs it. Everything else still waits for a person. You widen the limits when you are ready.
A person for the exceptions
Complaints, legal questions, anything with money or reputation attached: the agent gathers the facts and hands over. That rule does not change.
what you get
- Hours back, countedEvery action the agent takes carries the minutes a person would have spent. You see the total every month.
- Faster answers, in the client’s languageEnquiries answered in minutes, around the clock, in French, English, Italian or whatever your clients write in.
- A log of everythingWhat arrived, what the agent did, what it handed over and to whom. Useful for the team, essential for the regulator.
what it takes
- Access to one mailbox, line or folderWe start with a sample: one shared inbox, one phone line, one document type.
- Someone to correct it for two weeksFifteen minutes a day from the person who does the job today. Their corrections become the rules.
- Your templates and your rulesHow you answer, what you never promise, who signs what. Written down once, applied every time.
The rules every agent keeps.
Read-only first
Every agent starts by watching and drafting. It only sends, books or files on its own once you have seen it be right, step by step.
Your data stays yours
Agents run inside your own accounts and tools. Where a model is needed we use EU-hosted options by default, and nothing is used to train anyone’s model.
A person for the exceptions
Anything the agent is unsure about goes to a named person, with the facts already gathered. You decide what it may do alone, and when.
Asked before every build.
What if it answers something wrong?
For the first weeks it only drafts, so a person catches it. Once it acts alone, every message is logged and every category can be pulled back to draft mode in a minute. In practice the errors come early, in front of you, not later in front of a client.
Does the team need to learn a new tool?
No. The agent works inside the inbox, calendar and software they already use. The handover is an hour of training, mostly about how to correct it.
How many hours does it really save?
It depends on volume. Our builds typically give a small team six or more hours a week back on the inbox alone; the quick-check replaces that rule of thumb with your numbers.
Start with a 30-minute call. Keep what it finds.
You tell us where the hours go. We tell you which two or three jobs AI should take first, in a short written note. Free, in English or French.
